Required agreements to start cooperation

When you start working on applications, you have several cooperation options, including:
• Contract of mandate (most advantageous for students)
• Contract of mandate + rental contract
• B2B cooperation (with own business)

If you are a foreigner, contact our Job Legalization Center for foreigners. The employee will help you choose the best form of cooperation.

Phone: +48 515 589 262
E-mail: oksana@eternis.pl

Yes, a contract is mandatory to start working with Eternis. It is not legally possible to hire an employee without a contract.

Yes, of course! In this case, the most advantageous form of cooperation will be B2B.
If you have any questions, please write to us at: b2b@eternis.pl

Agreements necessary to start cooperation should be signed on the Eternis Panel: https://eternis.pl/login

How to do it?
• Register an account on the panel, go to the contract tab and enter the phone number to which the verification code will be sent as an electronic signature. After proceeding, select the type of contract and fill in the required data.
• After generating (printing) the contractor’s statement and the contract of mandate, go ahead and enter the car data into the rental contract, which will also be generated automatically.

The Eternis billing panel gives the driver full control over the costs and revenue generated by the Bolt / Uber / Free Now / Uber Eats apps, but is not directly linked to any of them. It is used for the current account service, allows you to add cost invoices, check the date and amount of the transfer sent to you after the end of the working week.

All documents necessary to start cooperation are available after logging in to our website: https://eternis.pl/login

If you have decided to terminate the cooperation with us, please send the termination notice by e-mail to the following address: biuro@eternis.pl.

Eternis costs and withdrawals

a) Settlement of the mandate contract:

1 application = PLN 30 (Free Now, Uber, Bolt, Glovo, Wolt)
2 applications = PLN 50
Free Now + Bolt + Uber = PLN 75
Uber Eats = PLN 20

If you don’t drive a week, we won’t charge you any commission, you only pay for active weeks!

Additionally, the following should be added to the weekly amount:
• 8% VAT on the Transportation Service (23% VAT for Uber Eats).
• The ZUS contribution (due to the mandate contract) is a cost only ONCE A MONTH, depending on your status (student, permanent job, etc.) from 0 to 92 PLN. That’s all!

Our company gives you the opportunity to eliminate VAT with cost invoices taken for our company (fuel, car parts, tire replacement, oil, car wash, etc.) We give 50% VAT from each invoice that you upload to the Eternis Driver Panel.
The above costs (VAT, ZUS) are the costs of EVERY legally operating Partner.

b) B2B settlement

In the case of B2B settlements, the settlement cost is PLN 30.
If you have any questions / doubts regarding B2B cooperation, write to us at:

b2b@eternis.pl

We make every effort to ensure that the transfer from Eternis leaves on Monday. If you have not received the transfer by Thursday 14:00, please let us know as soon as possible by sending an e-mail to the address: biuro@eternis.pl (in the text: name, surname and short information “no transfer in a week …”). We will try to locate the problem and intervene as soon as possible.

Remember that the Eternis Team makes every effort to ensure that the transfer to your account is already on Tuesday morning *.

Sometimes it may happen that the transfer does not come out on time – unforeseen situations, system error, banking failure, delayed transfer from Bolt, Uber or Free Now and other situations that, unfortunately, are beyond our control. Before you contact us regarding an unreceived transfer, check that all required documents in the Eternis Panel are completed (contracts). If you have not received the transfer by Thursday 14:00, let us know by sending an e-mail to the following address: biuro@eternis.pl (in the text: name, surname and a short information “no transfer in a week …”). We will try to locate the problem and intervene as soon as possible.

* the transfer applies to the Uber and Bolt applications.

If the transfer amount you received is different than the one in the application (e.g. a different amount for journeys, no tips included, no driver recommendation bonus, etc.), write us an e-mail to: biuro@eternis.pl.

This is by far the fastest form of contact. Remember that we do not handle such matters over the phone – they require time, analysis of your income and potential inconsistencies.

We divide your settlement into 3 transfers so that there is no doubt about what the transfers are for on your bank account and for tax reasons.

Transfers you will receive:
• Payment under the mandate contract (net amount of the standard payment under the mandate contract)
• Refund – the equivalent of your billed cost invoices sent to us to reduce tax
• Payment under the rental agreement – the remaining settlement amount will be paid for the rental of your car

ATTENTION! Refunds ONLY within the earned amount! If, for example, you have earned 1000 PLN and your invoice is 1500 – the difference (500 PLN) of costs will be transferred to the next settlement.

Taxes

VAT is a tax on goods and services.

In the transport industry, there are two main VAT rates of 8% and 23%. 8% concerns passenger transport and TAXI transport, while 23% concerns other services.

You can eliminate the tax by taking invoices for fuel, car inspections, tire replacement, etc. on our company. Everything above is your expense, so we can deduct it from your tax. Thanks to invoices, your VAT payable will be little or no VAT.

Yes, after the end of the year, a PIT-11 will be sent to each driver.

Unfortunately, we can’t settle all taxes for you, but our accounting can help you get them settled.

We settle 8% VAT for you and we pay the tax from the mandate / employment contract – then the employee gets PIT 11 and is obliged to pay for PIT 37 or PIT 36. Tax from the car rental contract PIT 28 (flat rate) or PIT 36 the driver must settle yourself.

We submit PIT 28 until January 31.

Income tax from the car rental agreement is paid by the driver himself.

If you are just starting your adventure with a car rental contract, you must know that from the moment you receive your first rental income, you must remember to decide on the form of taxation of the rental. This must be done by the 20th of the following month at the latest. The deadline for submitting a declaration on the form of taxation of the lease depends on whether you are dealing with a lease for the first time or whether it is a continuation of an existing contract.

In the case of private rental, the tax can be settled in two forms:
• lump sum (8.5% tax)
• tax settlement on general terms (18% of tax)

If you do not make a choice in the next month after receiving the first rent, unfortunately you lose the choice and, in a way, you have to pay according to the general rules. If your contract is being continued, you must register it by January 20.

You can lower the tax base by deducting the costs associated with the rental of the vehicle (e.g. fuel, repairs or expenses for the purchase of equipment needed to work like a telephone).

You report to the Tax Office in person with the document, send it by post or describe the transfer appropriately (your first lump sum payment in a given year will act as a declaration regarding the form of private rental taxation) by the 20th day of the following month after receiving the 1st payment.

Yes, you do. If you have signed a mandate contract with us, you are registered with ZUS and you have health insurance. Remember that you can also insure your family under yourself.

Invoices at Eternis

Cost invoices (fuel, car wash, tire replacement) should be taken for the following data:

Eternis Sp. Z O.O. Sp. K.
Ul. Saska 9a
03-968 Warszawa

You can take invoices for:
• Fuel (remember the registration number on the invoice!)
• All kinds of repairs, car inspections, visits to workshops
• Handles, chargers
• Car parts
• Car washes, car fresheners
• Changing tires, oil.

Everything above is your expense, so we can deduct it from your tax. Thanks to these invoices, your VAT payable will be little or no VAT.

Remember that only correctly entered data of our company on the invoice guarantee its acceptance and VAT refund.

You can send invoices to us in the form of a scan or photo via the driver’s portal (Eternis Panel) or the mobile application.

The invoice must be:
• 100% visible
• no folds
• not soiled
• only one per photo
• without the interference of graphic programs

Instructions for adding an invoice:
• Log in to www.panel.eternis.pl or enter the mobile application on the phone
• Select from the list “Entering Invoices”
• Complete the form and attach a photo of the invoice to the form
• Click “Send”

The added invoice must be displayed in the system immediately after it was added, if it is missing, an error must have occurred.

If you have uploaded a given invoice in the current settlement (until Sunday 23:59) it will be added to the current settlement. If you uploaded it, e.g. on Monday, the invoice will be added to the future settlement.

Yes. The cost invoices must include the registration number of the car which you drive.
